TERMS AND CONDITIONS
Please note that space is limited and shall be allocated on a first come basis.: The Events Committee assesses all exhibitors’ applications to ensure quality and to avoid over duplication. Please submit complete information about the product that you intend to sell. The Events Committee reserves the right to designate vender category and to decline the application of any vendor due to type of goods. If accepted, you will receive confirmation and other festival information.
Exhibitors/vendors shall not assign, sublet, or share space without prior written permission of the Events Committee.
Space Rental: Fees are for space rental only. 10’ x 10’ space is $150 for the 2 days. Exhibitors are to provide their own tables and chairs. Vendors will be confined to the space allocated by the Events Committee. No tents, canopies or sunrooms will be allowed in the arena. Outside walls and electricity will be allocated on when the application is received given on a first come first served basis.
Damage/Theft: While the arena is closed overnight with a security alarm, The Port Colborne Optimist Club, the board of directors, events committee, or any person working with the committee will not be responsible or liable for loss, theft, damage of exhibitor’s/vendor’s belongings or for any personal injury incurred. During the show hours, it is the vendors’ responsibility for their products – any damage, breakage, loss, or theft is solely the responsibility of the vendor.
Set-Up: Exhibitors will be able to set up their display on Friday night between 5 and 9 pm. There will be setup on Saturday morning after 7 am. If the participant is not set up by 9:30 a.m. then that vendor has forfeited their right to sell at the event for that day. The allocation of vendor/exhibitor spaces is at the discretion of the committee, and the committee reserves the right to relocate an exhibitor, as it considers necessary. Please note organizers will be setting up their booth early so they are available to organize vendors’ set-up.
Requirements: Exhibitors/vendors shall comply with all the rules and regulations respecting the conduct and management of the event including all municipal/provincial fire requirements which apply to the exhibitor’s/vendor’s use of the facility for the event. It is the exhibitor’s/vendor’s responsibility to have necessary licenses and collect all applicable taxes.
